Terms and Conditions
By making a reservation with Dyeing To Weave for the SAORI Immersive Retreat, you agree to the following Terms and Conditions.
Travel and Health
Your wellbeing is important to us. We want all guests, staff, and facilitators to enjoy the retreat in a safe and healthy environment.
- If you feel unwell or are unsure about travelling, please seek advice from your medical professional or state health authority before attending.
- Guests are responsible for bringing and managing their own medications, pharmaceuticals, or EpiPen, as prescribed by their medical practitioner or chemist.
- A health form (hard copy or online) must be completed for any booked spa treatments, and any pre-existing medical conditions must be disclosed.
- In the case of an emergency, please be aware the nearest hospital is a 45-minute drive from Hepburn Springs. An ambulance will be called if hospital transfer is required.
- Each guest must provide an emergency contact (name and phone number) on the booking form.
Deposits and Payments
- A non-refundable deposit of $800 (4-day experience) or $1000 (5-day experience) is required to confirm your booking, unless otherwise stated.
- The remaining balance is due two months before arrival. Payments may be made through the WeTravel booking platform at instalments that suit you until the payment deadline.
- You are welcome to pay by Bank transfer or Credit Card. Please note that Credit card payments will incur a 2% processing fee.
- Any additional day spa treatments or purchases during your stay must be settled directly with the accommodation provider at checkout.
Cancellation Policy
All cancellations or changes to your booking must be made in writing.
- Deposit: Non-refundable. Payment of the deposit confirms your acceptance of these Terms and Conditions and your room at the Retreat.
- 61+ days prior to Retreat start date: You will receive a credit to rebook within 12 months. If no future dates suit you, you may request a refund of any additional payments made (minus the deposit).
- 30–60 days prior: You may transfer your booking to another person OR receive a refund of 50% of the program cost (minus the deposit).
- Less than 30 days prior: You may transfer your booking to another person OR forfeit the full program fee.
- Retreat cancellation by organiser: In the rare event that Dyeing To Weave must cancel a retreat, you will be offered alternative dates. If these are not suitable, a full refund of all monies paid will be issued.
Arrival and Departure
- Detailed arrival and departure information will be provided following confirmation of your booking.
- Check-in is available from 2pm on the first day. Please arrive before the evening Welcome Gathering, which is an important part of the retreat program. More details about this event will be emailed to you. Attendance at the Welcome Gathering is compulsory for all Retreat guests.
- Late arrivals may miss key orientation activities, which form part of the full retreat experience.
Accommodation
- Retreat accommodation is in a traditional Japanese style, with futon bedding on tatami mat flooring. There are no Western-style beds on site.
- Futons are comfortable and include a low side table to assist with mobility. However, if you are unable to sleep on a futon due to mobility or medical reasons, accommodation nearby with a Western-style bed can be arranged for you upon booking (subject to availability).
- Guests staying off-site in Western accommodation will still participate in all retreat meals and activities but will not have a private room on the retreat property.
- Requests for alternative bedding arrangements at a nearby accommodation must be made in writing at the time of booking. Associated accommodation costs are included in the program price.
We look forward to welcoming you to the SAORI Immersive Retreat. Your booking is accepted on the basis that you agree to these Terms and Conditions. Failure to comply with any of these Terms and Conditions may result in cancellation of your booking.
